Position Summary: The
Judicial Assistant / Court Reporter performs a variety of clerical, administrative, and technical duties to support the operations of the Circuit Court of the City of Martinsville. This dual-function position is responsible for attending court proceedings to accurately record and transcribe legal proceedings, while also providing general clerical support to judicial staff, including filing, docket management, and case processing.
Essential Duties & Responsibilities: Court Reporting Functions: - Attend court sessions and make verbatim recordings of all proceedings using stenographic or digital equipment.
- Transcribe court proceedings into certified transcripts as requested by the court, attorneys, or parties involved.
- Maintain a complete, secure, and confidential record of all notes and transcripts.
- Ensure the accuracy and integrity of official court records.
- Prepare and certify transcripts for appeals or as legally required.
- Manage and maintain court reporting equipment and software.
Judicial Assistant Functions: - Prepare and process court documents, dockets, orders, and case files in accordance with court rules.
- Assist in managing the court calendar and scheduling hearings or trials.
- File and retrieve legal documents and maintain case files in an organized manner.
- Provide information to attorneys, law enforcement, and the public in accordance with legal and confidentiality standards.
- Respond to inquiries from the public or legal professionals regarding court procedures and case status.
- Perform data entry and record management in court systems or case management software.
Qualifications: Education and Experience:
- High school diploma or GED required; Associate’s degree or higher in Legal Studies, Criminal Justice, or related field preferred.
- Minimum of 2 years of experience in a court setting, legal office, or similar environment preferred.
Knowledge, Skills, and Abilities:
- Strong knowledge of legal terminology, court procedures, and transcription practices.
- Proficiency with stenographic or voice writing equipment and transcription software.
- Excellent grammar, spelling, and punctuation skills.
- Ability to remain impartial, professional, and maintain confidentiality.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities under strict deadlines.
- Strong interpersonal and communication skills, both written and verbal.
- Competence in Microsoft Office and other court-related software systems.
Working Conditions & Physical Requirements: - Work is primarily performed in a courtroom and office setting.
- May require long periods of sitting, concentration, and repetitive motions (e.g., typing).
- Must be able to lift files and office supplies up to 20 lbs.
- Occasional travel may be required for off-site proceedings or training.
Special Requirements: - Must pass a background check.
- Notary Public certification preferred or must obtain within 6 months of hire.
